Service Requests: From Reported Issue to Maintenance Action

Coming in OptiAM 10.0.0, with mobile submission in OptiAM GO 1.6.0

The new Service Request module gives users a structured way to report problems and request service through OptiAM or OptiAM GO. Authorized reviewers can evaluate requests, approve or reject them, and create linked work orders when maintenance is needed. Requests that do not require a work order can be completed directly, keeping the outcome documented without creating unnecessary maintenance records.

Key capabilities

  • Web and mobile submission: Capture a description, priority, and requestor information using a consistent request form.
  • Supporting attachments: Add files, such as photos or documents, to help explain the request.
  • Request visibility: View request lists, details, and status in OptiAM.
  • Controlled review: Use permissions to determine who can submit, view, approve, and act on requests.
  • Connected work orders: Carry relevant request information into a new work order and retain a link to the original request.
  • Flexible completion: Close approved requests without a work order when another action resolves the need.

Customer benefit

A clear handoff between the people reporting an issue and the team responsible for addressing it, with less information re-entry and better visibility into each request’s outcome.

Inventory Picking: Organize and Track Parts From Request to Pickup

Released in OptiAM 9.8.0 and OptiAM GO 1.5.0, deployed to production instances October 5, 2026

Inventory Picking gives storeroom teams a structured way to gather parts for work orders, transfer stock between locations, and collect supplies for other needs. Users can create picklists, reserve available stock, and track who is handling each list and what has been collected. OptiAM GO brings that workflow to mobile devices, with barcode scanning to help users build picklists and confirm items as they pick them.

Key capabilities

  • Web and mobile picklists: Create, work, and complete picklists in OptiAM or OptiAM GO.
  • Bulk and serialized items: Request quantities of consumable stock or select specific serialized assets for applicable workflows.
  • Stock reservations: Account for requested inventory in available quantities so teams can see what remains available for other needs.
  • Picking progress: Track the assigned user, requested and fulfilled quantities, and partial fulfillment.
  • Standardized barcode scanning: OptiAM GO supports Code 39, an internationally standardized barcode format defined by ISO/IEC 16388. Users can scan compatible labels to add items to picklists and confirm picked items, reducing manual entry during inventory picking.
  • Inventory transaction tracking: Record reservations, release unused quantities, and apply stock adjustments or transfers as appropriate. For work-order picks, final inventory deductions remain part of the Work Orders process.

Customer benefit

Better coordination between the storeroom and maintenance team, with clearer visibility into what is needed, what is reserved, and what has been picked.

Single Sign-On and Multi-Factor Authentication: Enterprise Login Options and Added Account Protection

Released in OptiAM 9.7.0, deployed to production instances August 12, 2026

OptiAM supports enterprise Single Sign-On (SSO) through OpenID Connect (OIDC), enabling integration with OIDC-compatible identity providers such as Microsoft Entra ID, Okta, and Amazon Cognito. Users can sign in with their existing organizational credentials, while OptiAM’s role-based permissions control what they can access within the application. For organizations using OptiAM-managed usernames and passwords, email-based Multi-Factor Authentication (MFA) adds a verification step before access is granted.

Key capabilities

  • Enterprise identity integration: Connect OptiAM to an OIDC-compatible identity provider to support your organization’s sign-in practices.
  • Existing organizational credentials: Link authenticated SSO users to existing OptiAM accounts through matching email addresses.
  • Email verification: When MFA is enabled, users receive a one-time code at their registered email address after entering a valid username and password.
  • Administrator controls: Configure SSO through customer settings and enable email MFA through an instance-wide policy.
  • Verification safeguards: Codes expire, resend requests are limited, and repeated invalid entries require users to restart the login process.
  • Identity provider MFA: For SSO users, additional authentication requirements are handled by the organization’s identity provider.

Customer benefit

Easier sign-in for users and greater control over authentication for administrators, helping organizations align OptiAM access with their existing identity and security practices.

Microsoft Entra ID, Okta, and Amazon Cognito are trademarks of their respective owners. They are named only as examples of OIDC-compatible identity providers and do not imply endorsement or partnership.

Release Notes: Common Questions

What is the Service Request module in OptiAM?

The Service Request module gives users a structured way to report problems and request service through OptiAM or the OptiAM GO mobile app. Authorized reviewers evaluate each request, approve or reject it, and create a linked work order when maintenance is needed. It is coming in OptiAM 10.0.0.

When are service requests available in OptiAM?

Service Requests are coming in OptiAM 10.0.0. Submitting requests from a phone or tablet comes with OptiAM GO 1.6.0.

Can someone submit a service request from a phone or tablet?

Yes. OptiAM GO 1.6.0 adds mobile submission, using the same request form as the web: a description, a priority, and requestor information, plus attachments such as photos or documents.

What information does a service request capture?

Each request captures a description of the problem, a priority, and requestor information. Users can attach supporting files, such as photos or documents, to help explain the request.

Who can submit, view and approve service requests?

Permissions determine who can submit, view, approve, and act on requests, so each organization controls who reports issues and who reviews them.

Does every service request become a work order?

No. When maintenance is needed, a reviewer creates a work order from the approved request. When another action resolves the need, the approved request can be closed without a work order, so the outcome is still documented without creating an unnecessary maintenance record.

How do service requests connect to work orders?

When a work order is created from a request, the relevant request information carries into the new work order and the work order keeps a link to the original request. That means less re-entry and a clear trail from the reported issue to the maintenance action.

What is the difference between a service request and a work order?

A service request is the report of a problem or a request for service from the person who noticed it. A work order is the maintenance action the team carries out. In OptiAM, requests are reviewed first and only become work orders when maintenance is actually needed.

Can I see the status of a service request?

Yes. Request lists, request details, and request status are visible in OptiAM, so it is clear what happened to each request.

What is Inventory Picking in OptiAM?

Inventory Picking gives storeroom teams a structured way to gather parts for work orders, transfer stock between locations, and collect supplies for other needs. Users create picklists, reserve available stock, and track who is handling each list and what has been collected. It was released in OptiAM 9.8.0 and OptiAM GO 1.5.0.

When was Inventory Picking released?

Inventory Picking was released in OptiAM 9.8.0 and OptiAM GO 1.5.0, deployed to production instances on October 5, 2026.

When were SSO and MFA released?

Single Sign-On (SSO) through OpenID Connect and email-based Multi-Factor Authentication (MFA) were released in OptiAM 9.7.0, deployed to production instances on August 12, 2026.

Which identity providers work with OptiAM SSO?

OptiAM SSO uses OpenID Connect (OIDC), so it can integrate with OIDC-compatible identity providers such as Microsoft Entra ID, Okta, and Amazon Cognito. Users sign in with their organizational credentials, and OptiAM role-based permissions still control what they can access.

Can picklists be worked on a mobile device?

Yes. Picklists can be created, worked, and completed in OptiAM or in the OptiAM GO mobile app, where barcode scanning helps users build picklists and confirm items as they pick them.

What barcodes does OptiAM GO scan for picking?

OptiAM GO uses Code 39 barcodes to add items to picklists and record fulfillment.

Does picking reserve stock?

Yes. Requested inventory is accounted for in available quantities, so teams can see what remains available for other needs. Unused quantities can be released.

Does picking handle serialized parts as well as bulk stock?

Yes. Users can request quantities of consumable stock or select specific serialized assets for applicable workflows.

Does picking parts for a work order deduct them from inventory?

Picking records the reservation and the fulfillment. For work-order picks, the final inventory deduction remains part of the Work Orders process. For stock adjustments and transfers between locations, picking applies those inventory transactions as appropriate.
